Terms of service

The agreement for using Glaciq in your business: what we provide, what your team is responsible for, and how subscriptions work.

Last updated 12 October 2026

Glaciq provides the software. Your business controls its team and records. Paddle handles self-serve purchases and their payment terms.

01

Who provides Glaciq

Glaciq is provided by Golding Works Inc. ("Glaciq", "we", "us"). These terms govern your use of our field service management software, website and related support. "You" means the business subscribing to Glaciq and, where relevant, the people it authorises to use the service.

By creating a company account or using Glaciq on behalf of a business, you confirm that you are authorised to act for that business and agree to these terms. A separately signed agreement takes priority where it expressly replaces a provision here.

02

What the service does

Glaciq connects HVAC and refrigeration service work: job planning, customers, sites and systems, engineer write-ups, refrigerant records, parts and follow-up. Your subscription gives your authorised team permission to use the available service for your business operations.

The service supports your work; your business remains responsible for the work performed, the accuracy of its records, its professional certifications and its legal obligations. Glaciq is not a substitute for professional judgement or regulatory advice.

AI features can propose summaries and structured details. A person must review the proposals before relying on them. Compliance rules and recorded workflow decisions are determined by the platform's fixed rules and recorded facts, not by an AI opinion. A completed job is not a guarantee that a system meets every compliance obligation.

A connection is required to save and submit work. Do not rely on unsaved page entries as a permanent record.

03

Accounts and authorised use

Provide accurate account and business details, keep access to your work email secure, and tell us promptly if you suspect unauthorised access. Your administrators manage the people invited to your company and their roles.

Use the service lawfully. Do not access another company's data, bypass permissions or seat limits, interfere with the service, introduce malicious code, or upload material you do not have permission to use. Accounts belong to individual users; do not share one account to avoid paying for seats.

We may restrict access when reasonably necessary to address a security threat, unlawful use or a serious breach of these terms. Where practicable, we will explain the issue and allow it to be resolved.

04

Subscriptions, trials and seats

Self-serve subscriptions are billed per seat: Full for admins and Field for engineers. Your company must have at least one Full seat. Active users and pending invitations occupy seats; deactivating a user does not itself remove a paid seat. An admin who also takes jobs occupies one Full seat.

Your company's first subscription offers a seven-day trial for one admin and up to one engineer. A payment method is required. Cancel before the trial ends to avoid the first charge; otherwise billing starts automatically for the seats then held. Subsequent subscriptions do not receive another trial.

Admins can change seats in Setup → Billing. The service previews the charge or adjustment before confirmation. Outside the trial, added seats are charged proportionally for the remaining billing period. Only unused seats can be removed, and reductions are credited against future billing rather than automatically refunded.

The billing interval confirmed at checkout stays on that subscription. The pricing page shows current monthly EUR prices, excluding applicable tax. Your currency, tax and final amount are shown before you pay.

05

Purchases and Paddle

Paddle is our merchant of record and authorised reseller for self-serve purchases. It handles checkout, payment details, invoices and applicable transaction taxes. Your purchase is also governed by Paddle's Buyer Terms.

Check the currency, tax, billing period, seat quantities and total shown at checkout before confirming. Subscriptions renew automatically until cancelled. Keep billing details current; unresolved payment failures can result in your subscription ending.

Payment and refund disputes about a Paddle purchase are handled under Paddle's terms and the refund policy. These service terms do not replace Paddle's purchase terms.

06

Your records and personal data

You retain your rights in the records and content your business supplies. You authorise us to store and process that content to provide, secure and support Glaciq, including the AI-assisted features described in our privacy policy.

Your business is responsible for its instructions, lawful basis and notices when entering personal data about customers, engineers or other people. For operational personal data entered on your behalf, your business generally acts as the controller and Glaciq acts as its processor. Separate data-processing terms agreed with your business apply where relevant.

Cancellation does not delete your records. We may need to retain records for contractual, regulatory, security or legal reasons. Contact us about record access, a data request or ending the service permanently. Do not assume that cancelling a subscription also requests deletion.

07

Cancellation and the end of access

An admin can cancel in Setup → Billing. Cancellation takes effect at the end of the current billing period or trial; you can withdraw a scheduled cancellation before it takes effect. The confirmation shows the effective date.

After the subscription ends, engineers cannot access the portal and admins can access the subscription screen to renew. Renewing restores access when the subscription is confirmed. Cancellation does not automatically refund amounts already paid. See the refund and cancellation policy.

08

Availability and responsibilities

We aim to provide a useful, reliable service and take reasonable care in operating it. Software and third-party services can experience interruptions or errors; we do not promise uninterrupted availability or that every result is free of errors.

Review records before using them for safety, compliance or business decisions. Tell us about a material fault so we can investigate it. Any rights to a remedy under applicable law, an agreed service contract or Paddle's purchase terms remain available.

Nothing in these terms excludes liability or limits a right where applicable law does not allow that exclusion or limitation. These terms do not remove any mandatory consumer protections.

09

Changes, law and contact

We may update the service and these terms. Material changes will be communicated through the service or the account contact with notice appropriate to their effect and applicable law. Updates do not remove rights already accrued. The date at the top identifies this version.

For the service relationship with Golding Works Inc., these terms are governed by the laws of Ontario and the federal laws of Canada applicable there, subject to mandatory protections that apply to you. This does not alter the separate governing-law provisions for your purchase from Paddle.

Contact info@glaciq.io first if there is a problem with the service or these terms, so we can work with you to resolve it.
