Privacy notice

How we handle your data.

This notice explains what personal data Glaciq collects through glaciq-console.vercel.app, why we collect it, who else processes it, and the rights you have over it. It applies to anyone who uses the marketing site or contacts us — separate notices apply to customers using the product itself.

Who we are

The data controller is Glaciq.

Glaciq is independently developed in Ireland and the United Kingdom. For any data-protection enquiry — access, correction, deletion, complaint — write to garreth@glaciq.io. We respond within one working day.

What we collect

Only the data we actually need to respond to you.

  1. Identity

    First name, last name, job title — to address you correctly and tailor the demo to your role.

  2. Contact

    Email address and company name — to schedule the demo and to email you the follow-up materials you ask for.

  3. Enquiry content

    The free-text message you send us — used only to inform the conversation we have with you.

  4. Marketing preference

    Whether you opted into occasional product updates from Glaciq. Recorded as a managed HubSpot subscription so you can unsubscribe at any time.

We do not collect special-category data, payment data or device fingerprinting through this site.

Processors

Who else handles your data, and where.

When you submit the contact form, the data is sent to HubSpot — the CRM we use to manage prospect conversations. Our HubSpot tenant is hosted in HubSpot’s North America (na3) region, which means your form submission transits to and is stored on US-based infrastructure operated by HubSpot, Inc. under their GDPR-aligned Data Processing Addendum and Standard Contractual Clauses.

When you book through the embedded Calendly link, scheduling data (your name, email and chosen time) is processed by Calendly, LLC on US infrastructure, on similar terms.

We do not sell your data, and we do not share it with any third party other than the processors named above.

Note: separately from this marketing site, the Glaciq product hosts customer operational data (assets, gas transactions, engineer records, certificates) in EU data centres. The na3-region detail above applies to marketing form submissions only.

Lawful basis

Why we are allowed to process this data.

We rely on legitimate interest (Article 6(1)(f) GDPR) to process the contact data you submit in order to respond to your enquiry. Our legitimate interest is operating a B2B sales conversation with someone who contacted us first; we have assessed that this does not override your rights and freedoms.

For the optional marketing-communications subscription we rely on your explicit consent (Article 6(1)(a)). You opt in via a clearly-labelled checkbox, and you can withdraw consent at any time using the one-click unsubscribe link in any email we send you.

Retention

How long we keep your data.

Contact-form data is retained for as long as the conversation is active and for up to 24 months afterwards, after which it is deleted unless you have become a customer (in which case the customer terms apply) or you have asked us to keep you on the marketing list.

Your rights

You can exercise any of these at any time.

  1. Access

    Ask us for a copy of any personal data we hold about you.

  2. Correction

    Ask us to correct or update inaccurate or incomplete data.

  3. Deletion

    Ask us to delete your data, subject to any retention obligations we have in law.

  4. Withdraw consent

    Withdraw your marketing-communications consent at any time — every email we send includes a one-click unsubscribe link.

  5. Object / restrict

    Object to or restrict our processing of your data on grounds relating to your particular situation.

  6. Portability

    Receive a machine-readable copy of the data you provided to us.

To exercise any of these rights, email garreth@glaciq.io. We respond within one working day. If you are dissatisfied with our response you have the right to lodge a complaint with your local supervisory authority — for Ireland, that is the Data Protection Commission (dataprotection.ie).

Changes

We’ll tell you when this changes.

If we make material changes to this notice we update the date at the top and email anyone who has opted into the marketing list. Smaller editorial changes are versioned silently.
