Compliance-native field service management for refrigeration, AC and heat pumps.
Built for HVAC and refrigeration contractors across Ireland, the UK and the EU. Every gram of refrigerant tracked. Every engineer certification verified. Every job briefed by AI before the engineer arrives. Compliance isn’t a module — it’s the foundation.
01 / The pressure
The compliance burden is growing. Generic FSM software isn’t keeping up.
Your engineers are qualified. Your work is good. But the paperwork that proves it — F-Gas logs, gas cylinder records, engineer certifications, leak check schedules, customer evidence packs — is eating your office hours and putting your contracts at risk.
Major retail and facilities management customers audit their refrigeration suppliers more aggressively every year. F-Gas rules tighten. Customers demand CO₂e reporting for their own ESG disclosures. And the FSM tools built for plumbers, builders or generic field service simply weren’t designed for an industry where every job touches a regulated substance.
Glaciq is different. We built a Field Service Management platform around the actual regulatory reality of HVAC and refrigeration work. Compliance isn’t an add-on or a configuration option. It’s the core of the product.
02 / The spine
Four things Glaciq does that nothing else does.
Differentiator 01
Track every kilogram of refrigerant, end to end.
Every cylinder you receive, every gram you place into a system, every recovery from end-of-life equipment — captured in a single audit-ready log. Cylinder serials, GWP values, CO₂ equivalents, virgin or reclaimed status, the engineer responsible. When the auditor asks for five years of refrigerant records for a specific site, you press one button.

Differentiator 02
Lock in proof of engineer competence at the moment of work.
Every time an engineer arrives on site, Glaciq freezes a snapshot of every relevant certification, refresher cycle and tool calibration as it stood at that exact moment. Two years later, when an insurance claim or regulatory investigation asks ‘was this engineer qualified to do this work on this date?’ — the answer is one query away. Even if the engineer has long since left the company.

03 / The demo-stopper
Brief every engineer before they walk on site, powered by AI.
Glaciq’s AI reads every visit, fault, gas transaction and photo from the asset’s history — plus patterns from similar units across your own portfolio — and produces a concise briefing for the engineer before each job.
Senior engineer’s intuition, available to every engineer on every job. New starters perform like experienced ones from week one. Recurring patterns surface automatically, not as repeat callouts.
Grounded in your own data. Stays in your tenant. We don’t train shared models across customers. Your asset history is yours.
- First-visit fix rates improve materially
- New starters perform like experienced engineers from week one
- Recurring faults across a model surface as patterns, not callouts
- Manufacturer firmware quirks and seasonal patterns appear automatically
- Phone calls to the office asking ‘what did Joe do here?’ stop
- Senior knowledge compounds instead of leaving with each retirement
Differentiator 04
Compute what regulation requires; never let users misconfigure it.
Leak check schedules, certificate validity, calibration validity, banned-gas service rules — none of it is configurable by the user. Glaciq derives the rules from your assets, refrigerants, jurisdictions and gas transactions, and applies them automatically. A misconfigured user setting cannot break compliance. The platform enforces the regulation; the user runs the business.
5–50 t bracket → leak check every 12 months → halved if leak detection fitted (n/a)
Next leak check: 14 Aug 2026 · auto-scheduled
03 / Built for the work
Built for the way refrigeration work actually happens.
Gas tracking that auditors recognise.
Every gas movement in your business — cylinder received, refrigerant placed in a system, recovery from a faulty unit, return to the wholesaler — is captured as a structured record. Each transaction carries the cylinder serial, the engineer’s identity, the GWP and CO₂ equivalent at the moment of the transaction, the virgin or reclaimed status, and the calibrated scale used to weigh it.
The logs are queryable, exportable, and ready for any audit, customer review or annual return without manual reconstruction.
- Five years of refrigerant records for any site, on demand
- Per-cylinder mass balance reconciliation that catches losses before they become invisible cost
- Automatic CO₂e reporting for customers with Scope 1 disclosure obligations
- Documented reclaimed-gas evidence for the post-2025 high-GWP service rules

Engineer certifications, the way they actually work.
Certifications in this industry don’t all behave the same way. Some never expire (your senior engineer’s QQI Refrigeration Level 6, the original F-Gas certificates issued before 2024). Some expire on a fixed cycle (RGII, Safe Pass, Gas Safe, IPAF). Some require continuing professional development. Some depend on a separate annual scheme membership.
Glaciq handles all four lifecycle types correctly. Lifetime certifications appear in your compliance evidence without ever firing false expiry alerts. Fixed-expiry ones generate alerts at 90, 60, 30 and 7 days. Memberships propagate to every engineer they cover.
- No more ‘did Joe’s RGII renew?’ panic — the system warns weeks ahead
- Dispatch refuses to assign a job a certification doesn’t cover
- A documented trail of every engineer’s competence at every job, defensible years later
- Built-in handling of the 7-year F-Gas refresher cycle that hits every legacy holder by March 2029

Leak check scheduling that just runs.
Leak check frequencies aren’t a guess or a customer preference. They’re determined by the CO₂ equivalent of the refrigerant in each system, whether it has automatic leak detection, and the jurisdiction the site is in.
Glaciq computes this for every asset automatically. As the asset’s charge changes, the schedule updates. As regulations evolve, the platform’s rules update and every affected asset re-schedules. The user has no say in the schedule, which is exactly the point.
- Every asset in the right schedule, all the time, with no manual tracking
- Automatic job creation when leak checks come due
- Auto-tightened schedules when an asset starts leaking above acceptable rates
- Post-repair verification scheduled automatically within the regulatory window
Cylinder management without integration headaches.
Wholesaler integrations are the holy grail of refrigerant tracking — and they’re rarely available. Most refrigerant suppliers, including the ones you actually use, don’t offer the kind of API you’d need.
Glaciq doesn’t depend on them. Engineers receive cylinders through a 90-second mobile workflow: scan the barcode, photograph the cylinder neck markings, confirm the refrigerant type, confirm virgin or reclaimed. Every regulatory data point you need — water capacity, tare mass, Pi mark, test date — is stamped on the cylinder itself. Office staff verify in seconds from the photograph.
- Full cylinder lifecycle tracking from day one — no waiting on supplier APIs
- Per-cylinder mass balance reconciliation that surfaces losses against gas issued
- Idle cylinder alerts when bottles with remaining gas haven’t been used in 30 days
- Pressure-test due-date alerts and a clean register of every cylinder you’ve ever held

Per-asset leak rates, surfaced as operational intelligence.
Most contractors find out a system is leaking when the customer rings to complain. By that point the food has spoiled or the comfort cooling has failed and the relationship is damaged.
Glaciq computes the annual leak rate for every asset in your portfolio continuously. The day an asset crosses 5%, your dashboard flags it. At 15%, the next leak check is auto-tightened and the customer compliance officer is alerted. The leaderboard ranks the top 10 leakers across your customer base by severity, with the next scheduled visit attached.
- Prevention work prioritised before it becomes emergency callouts
- Documented leak history when negotiating manufacturer warranty claims
- Clear evidence for customers transitioning their estate to lower-GWP refrigerants
- Refrigerant losses turned into prioritised maintenance, not invisible cost

Custom job sheets without compromising compliance.
Every contractor captures slightly different information. The grocery service has its own checklist. The pharmacy job needs different sign-off. The PPM at a cold-storage depot follows a particular format.
Glaciq lets you build custom work dockets in the customer portal — one template per customer, per job type, or general-purpose. Engineers see the docket’s custom fields on top of the mandatory compliance capture. What you can’t do — by design — is configure away the compliance fields. Bad templates cannot break compliance, ever.
- Faster sign-off on customer-specific jobs
- One template per major customer, ready to roll
- A clean separation between operational paperwork and the regulated record
- Confidence that every job meets compliance, regardless of docket configuration

Photos as evidence, not attachments.
Photos taken during visits carry their EXIF capture timestamp, GPS coordinates and device identifier. Glaciq computes a SHA-256 hash on upload and verifies it on retrieval — a tampered photo is flagged automatically. Photos taken outside the site geofence trigger a soft warning to the engineer.
Each photo is tagged for purpose: before, after, evidence, asset nameplate, fault, general. They feed directly into compliance certificates and customer evidence packs.
- Tamper-evident visual records that stand up to audit scrutiny
- A clean evidence trail for every PPM, install and repair
- Photographic proof of pre-existing damage, defending against customer claims

Statutory certificates, generated automatically.
F-Gas leak check certificates, RGII Declarations of Conformance, Safe Electric Certs, decommissioning records — Glaciq generates them as compliant PDF documents from the underlying job data, signed digitally, hashed for integrity, and stored against the job for retrieval.
The engineer’s competence at the moment of signing is embedded into the certificate. The certificate’s authenticity can be verified years later through the SHA-256 hash printed on its footer.
- Hours of engineer paperwork eliminated
- Hours of office cert handling eliminated
- A digital archive that satisfies the five-year minimum without a filing cabinet
- Customer-ready PDFs delivered as part of the job completion flow

Audit readiness
F-Gas, customer audits, refrigerant scheme inspections
And the upstream knock-on: first-visit fix rates rise because diagnosis starts informed, cost-to-serve falls on retail and FM accounts because evidence assembles itself, and emergency callouts shrink — the most expensive failure mode in field service work.

05 / Jurisdictions
Built for the rules you actually work under.
The regulatory rules are owned and maintained by Glaciq. When the rules change, the platform updates and your compliance posture updates with it. You don’t run a regulatory consultancy as a side hustle to keep your FSM correct.
- IEIreland
F-Gas, RGII gas registration, Safe Electric, SEAI grant work for residential heat pumps, BER assessment integration.
- UKUnited Kingdom
F-Gas (retained regulations), Gas Safe Register, MCS for renewable heat, REFCOM-aligned audit packs.
